Is Claude safe for business data? A practical checklist

By Hizmedia Intelligence3 min readUpdated

The honest answer is that Claude can be used safely with business data when it is set up properly, and the biggest risks usually come from how people use AI rather than from the tool itself. This checklist covers what to put in place.

The real risk is unmanaged use

In most businesses, the risk is not an approved, configured business plan. It is staff pasting client information into whichever free tool they found, on personal accounts nobody controls. A properly set up rollout is usually more secure than the workarounds it replaces.

Use a business plan

Anthropic's commercial plans come with business data terms, and your data is not used to train models by default. Review the terms and data processing agreement for your plan, and keep a copy for your records.12

Control who can access what

  • Give access to the people who need it, and remove it promptly when people leave or change roles.
  • Limit admin rights to a small number of named people.
  • Share Projects only with the teams that need them.
  • Remember that connectors act with each person's access, so review what each connected tool exposes.

Write down what never goes in

Your AI use policy should list information that must never be shared with Claude or any other AI tool. Typical examples:3

  • passwords, keys and access credentials
  • payment card details
  • health information and other special category personal data
  • information you are contractually bound not to share with third parties

Keep a person in the loop

Set a simple rule: Claude can draft, analyse and suggest, but a person approves anything that is sent to a client, published or used to make a decision. This protects quality as well as data.

If you work in a regulated sector

Healthcare, financial services, legal and other regulated businesses should check their specific obligations before rolling out any AI tool. That may include a data protection impact assessment under UK GDPR, sector rules and client contract terms. Some uses will be fine; some will need extra controls; a few may not be appropriate.45

The checklist

  1. Everyone uses a business plan, not personal accounts
  2. Data terms reviewed and filed
  3. Access limited to the right people, with admin rights tightly held
  4. Projects shared only with the teams that need them
  5. Connected tools reviewed for what they expose
  6. A one-page AI use policy, read and agreed by staff
  7. A clear 'person approves' rule for anything leaving the business
  8. Sector obligations checked, with an impact assessment where needed
  9. Training that covers safe use, not just features

Questions

Good questions.

Something else on your mind? Ask us directly.

Does Claude train on our business data?

On Anthropic's commercial plans, your data is not used to train models by default. Check the current terms for your specific plan.

Is Claude GDPR compliant?

Compliance depends on how you use any tool, not just the tool itself. Use a business plan, review the data processing terms, set clear policies and carry out an impact assessment where your use requires one.
