How to use Claude with Google Workspace: Gmail, Calendar and Drive

By Hizmedia Intelligence3 min readUpdated

If your business runs on Google Workspace, Claude's Google connectors let it find information in Gmail, Calendar and Drive, and work with Docs and Sheets, all within each person's own access. Here is what they do and how to set them up well.1

What the connectors can do

  • Gmail: search and read email, and draft, send, reply and forward when you approve it.
  • Google Calendar: view calendars, find shared free time, and create or update events.
  • Google Drive: search and read files, and upload, share, move or organise them.
  • Docs, Sheets and Slides: separate connectors that let Claude create and edit files alongside the chat.1

Useful first requests look like these:

  • Find the latest pricing document in Drive and summarise what changed from the last version.
  • Summarise the thread with the supplier about the delivery delay.
  • Find a 30-minute slot next week when the three of us are free.
  • Draft a reply to this enquiry using our standard terms from the shared folder.

How access and approvals work

Each person connects their own Google account, and Claude mirrors their existing permissions, so nobody can reach anything they could not already see. By default, Claude asks for approval before actions such as sending an email or sharing a file.1

Setting it up for your business

  1. On Claude Team or Enterprise, an Owner or Primary Owner enables the Google Workspace connectors for the organisation.
  2. Owners decide whether members can let actions such as sending, sharing or moving files run without asking each time.
  3. If Google blocks access, a Google Workspace admin may need to mark Claude as a trusted third-party app.
  4. Each person then connects their own Google account from Claude.1

Safeguards we recommend

  • Keep approval on for sending, sharing and deleting, at least to begin with.
  • Tidy Drive sharing before you connect, so Claude only surfaces what it should.
  • Keep the rule that a person checks anything before it goes to a customer.
  • Cover the connectors in your AI usage policy, including what must never be shared with Claude.

Claude or Gemini?

Gemini is built into the Google apps themselves, while Claude brings your Google information into Claude, alongside its Projects, Skills and other connectors. Our Claude vs Gemini guide covers how to choose, and many businesses use both.2
